Using MyCarePolicy Documents

MyCarePolicy packs provide expertly drafted policy and procedure templates aligned to CQC, Ofsted and NRSA standards. This page explains how to get the most from them.

What You Receive

Each MyCarePolicy pack contains editable Word documents (.docx) covering the policies, procedures, risk assessments and supporting forms relevant to that compliance area. Documents are structured around current regulatory frameworks and reflect UK legislation as of the date of purchase.

Adapting Documents to Your Service

Templates are starting points, not finished products. Every care service is different. You must review and adapt each document to reflect:

  • Your service type, size and client group
  • Local authority requirements and commissioner expectations
  • Your existing governance structures and reporting lines
  • Staff roles, responsibilities and training pathways specific to your organisation
  • Any conditions attached to your CQC, Ofsted or local registration

Placeholders (marked with square brackets or highlighted text) indicate where service-specific information must be inserted.

Keeping Documents Current

Regulations, guidance and best practice evolve. You are responsible for:

  • Reviewing each policy at least annually, or when legislation changes
  • Updating procedures following incidents, complaints or inspection feedback
  • Recording review dates, version numbers and the name of the reviewing manager
  • Communicating changes to all relevant staff and ensuring acknowledgement

Staff Training & Awareness

A policy only works if staff understand and follow it. After adapting documents, ensure:

  • All relevant staff read and sign off on key policies
  • Induction programmes reference your adapted policies
  • Supervision and appraisal processes check policy awareness
  • Training records demonstrate ongoing competency in policy areas

Evidence & Inspection Readiness

Inspectors expect to see policies that are lived, not just filed. Strengthen your position by:

  • Linking policies to audit evidence within MyCareAudit
  • Maintaining version-controlled document libraries
  • Keeping staff training logs alongside relevant policy documents
  • Using the Inspection-Ready Evidence Framework to map policies to regulatory standards
