One connected ecosystem

One care ecosystem. Record it once, and it works everywhere.

Care records, staff, rota, training, policies, audits and money, all connected, with AI that drafts and people who approve. Eight connected parts share one record, one evidence trail and one account, built for CQC- and Ofsted-regulated providers and non-regulated supported housing (NRSA) providers.

Record it once

One entry feeds every part that needs it. No copying between systems.

A training certificate is added to the staff record

→ it shows as evidence in the safe-recruitment and staffing audits.

An incident is logged

→ it appears on the person's timeline, in the Action Centre and in the next safety audit.

A policy is signed by staff

→ it counts towards governance and the well-led audit.

A visit is checked in on the rota

→ it feeds the timesheet, the invoice and the missed-visit check.

A care plan review is done

→ it updates readiness and the person timeline.

An AI audit report is drafted from all of the above

→ the manager approves it before the Final copy unlocks.

AI drafts, people approve

AI never decides and never writes the final record. Every draft is labelled and needs a named person to approve it.

  1. 1

    AI drafts

Drafts are built only from your own records.

  2. 2

    Checks run

Dates, doses and names are checked against the record.

  3. 3

    A manager approves

A named person reads, edits and approves.

  4. 4

    Final unlocks

Only the approved version becomes the record.

How we govern AI

The pillars in detail

Adopt the whole ecosystem or start with one pillar — every area shares the same data, evidence trail and account, so nothing lives in a silo.

Inspection readiness

Audit & Inspection Readiness

Find and fix compliance gaps before an inspector does, with AI-guided audits mapped to the latest CQC, Ofsted and NRSA frameworks.

340+ audit templates

Inspection-ready templates across care homes, domiciliary, supported living, children’s homes and supported accommodation.

AI gap detection

Answers are checked against regulatory standards and gaps are flagged with clear, actionable fixes.

Professional PDF reports

Board- and inspection-ready reports with scores, evidence and action plans in seconds.

Mock inspection reports

SAF- and SCCIF-aligned mock inspections that mirror the real thing.

175 risk templates & 18 rules

Risk-assessment library and built-in compliance rules mapped to CQC regulations.

AI findings analysis

Upload an inspection report and get each finding mapped to a standard with suggested actions.

Inspection tools

Practise mock inspection questions, gather evidence, draft factual accuracy responses and keep a record of every AI draft a person approved.

Inspection readiness index

Each audit shows a readiness score, how strong the evidence is, coverage by key question and any critical risks. It is a guide, not a CQC rating.

Question bank & evidence library

Practise likely inspection questions and keep evidence in one library, linked to the standard it supports.

10-minute quick check

A 10-minute self-check across the five key questions, including current and emerging topics, with a history so you can see progress. Not a CQC rating. Included on every plan.

Continuous monitoring

Compare each audit with the last one at the same site and flag a fall of 5 points or more, so drift is spotted early.

Well-led evidence

Quality, Compliance & Governance

A complete governance layer that turns day-to-day compliance into the well-led evidence regulators expect — continuously, not just at inspection time.

Incidents & risk register

Log incidents, run a 5×5 risk register and drive service improvement plans from one place.

Corrective actions (CAPA)

Assign, track and evidence corrective actions with overdue reminders and recurring-issue analytics.

KPI & governance dashboard

Trend quality metrics across every location with a manager command centre view.

DSPT & cyber readiness

Work through the Data Security & Protection Toolkit and a cyber-incident communication plan.

Records of processing (RoPA)

Generate a data map / RoPA and evidence UK GDPR accountability.

CQC notifications & DBS tracking

Keep statutory notifications, DBS renewals and supervisions on schedule.

Notification deadline tracker

Shows each notification that may be due and the time left. It tracks only and never files anything for you.

Speak-up (Freedom to Speak Up)

Any staff member can raise a concern, named or anonymously, and managers keep a log with follow-up. Included on every plan.

Evidence check

One list of records that do not match across modules. A manager reviews each item and records what was done – a missing record is not proof care was not given.

Contract register

Council and ICB contracts with funded hours, KPIs and reporting dates, compared each week with delivered visits and shifts. Export it as a spreadsheet.

Person-centred outcomes

Care Management & Outcomes

Join the golden thread from assessment to daily notes to measurable outcomes — evidencing genuinely person-centred, outcome-focused care.

Digital care plans & eMAR

Person-centred care plans, electronic medication records and daily notes.

Care continuity (golden thread)

Traceable link from assessment through care plan and daily notes to outcomes.

Outcomes & reablement tracking

Track goals, independence and reablement progress with clear outcome evidence.

Resident 360 snapshot

A single, up-to-date view of everything that matters for each person you support.

Feedback & surveys

Capture voice-of-the-person feedback with CQC/Ofsted-aligned surveys and skip logic.

Engagement & I-statements

Evidence “We” and “I” statements and engagement equity across everyone you support.

Shift tools & policy beside the record

Handover summaries, family updates and early warnings, with the right policy shown next to medicines, safeguarding and capacity records.

Record checks for inspection

See what changed on each record and who changed it, send instant alerts when key forms are submitted, run BMI and fluid gap reports, and track every review that is due.

Live-in care

Placements, carer rotation, daily logs with the 2-hour break, handovers, cover, pay and charge rates and employment law checks in one place.

Referral pack

For each referral: needs, registration scope, staff skills, compatibility and funding in one pack, then the manager records the decision. Recommendation only – the manager decides.

AI coach on every page

A coach beside any text box suggests what to cover, reviews your wording and drafts improvements. Suggestions only: it never saves or decides anything.

Safe staffing

Workforce, Rota & Training

Roster safely, recruit compliantly and keep every mandatory course current — with the staffing evidence commissioners and inspectors ask for.

AI-assisted rota

Smart rostering with conflict detection, Working Time checks and copy-last-week.

Staffing calculator

Work out the staff and FTE your service needs from dependency levels.

Training & compliance matrix

Track courses, induction and expiry dates with real-time compliance dashboards.

Safer recruitment & HR

Onboarding workflows, safer-recruitment checklists and an AI HR advisor.

Workforce stability signals

Spot retention risk early with turnover and stability indicators.

Supervision & competency

Schedule supervisions and evidence staff competency against role requirements.

Open shifts, swaps & cross-site cover

Offer shifts and approve swaps in the staff portal, with safe-staffing checks and opt-in cover from your other sites.

What-if planner

Plan for occupancy changes, absence and 2:1 support and see the hours, skills and cost needed. Planning only, not a safety decision.

New

Inspection-ready audits, Ofsted tools, workforce and finance extras

Audits that stand up to scrutiny, and the paperwork children's homes and supported accommodation need, built from the records you already keep. Plus supervisions, appraisals, budgets and cash flow in the same place.

Every answer accounted for

Audits now allow "Pending review" and "Not assessed", and every N/A needs a reason, so nothing is quietly skipped.

Gaps become actions

Not met and partly met answers, and mock inspection gaps, become corrective actions with an owner, a date and a "checked it worked" step.

Sign-off and version lock

A manager signs the audit off and it locks, so the record you show an inspector is the one you approved. Download it as a Word report.

Indicative Ofsted best fit

For Ofsted audits, see an indicative best-fit result by area. Supported accommodation uses Outcome 1, 2 or 3, and "helped and protected" limits the overall result.

Annex A draft and record check

Draft your Annex A figures from your records and see where they do not match up, such as missing return conversations or notifications not sent.

Reg 32, front sheets and Reg 44

Write the six-monthly review with your figures filled in, print young person front sheets, send Reg 44 findings to actions and spot repeat findings.

Supervisions and appraisals

Record structured supervisions, appraisals and team meeting attendance, signed by both sides. The rota warns you (it never blocks) when someone is overdue.

Budgets and cash flow

Compare staff costs with your budget for each site, see a 13-week cash-flow forecast, and get flags for duplicate invoices or unusual pay. Figures are indicative.

Home plus eight simple hubs

A Home page for your role, then Quality & Inspection, Care, People & Team, Training, Rota & Visits, Money, Premises & Safety and Insight & Reports, so each tool is easier to find.

Premises checks you can tick off

Each premises and safety item can be marked Checked, Failed or N/A with a reason, instead of staying Pending. A failed item records what needs fixing, and you can mark all remaining items as checked in one go.

Fewer, clearer templates

The same audit topic for care homes, supported living and home care now shows as one card. You pick the service type on the card, so the list is shorter and easier to search.

Framework version on every audit

Each audit and Word report shows which framework it was checked against, such as the CQC assessment framework or the Ofsted SCCIF updated on 28 October 2026. AI report text is marked as a draft for a manager to approve.

On by default

These tools are included and switched on by default on eligible plans. Anything you do not need can be switched off in your feature settings.

Judgements and outcomes shown in the software are indicative self-assessments to help you prepare. They are not CQC ratings or Ofsted judgements.

New

Action Centre, escalation and checked-off actions

One place for everything that needs doing, ranked the same way, followed up until someone has checked it worked.

One Action Centre

Every open item from audits, incidents, complaints, care tasks, alerts, training, rota and finance in one list, with My, Team and All views.

One P0–P3 priority scale

Everything is ranked on the same four levels, from "act now" to "routine", so the most urgent work is always at the top whichever module it came from.

Alerts that escalate

If nobody acknowledges a critical or high alert in time, it goes to the named person or the on-call manager, and every step is logged.

Checked by someone else

A completed corrective action waits for a different person to check the evidence before it closes. Cancelling needs a reason, duplicates are linked and re-opening keeps the history.

Duty sign-off ladder

The rota checks that medicines competencies are signed off and in date before the duty is given. Managers can still override with a reason.

Notification helper

Suggests when an incident may need a CQC or Ofsted notification and shows a countdown. Suggestion only: it never files anything for you.

Stale data flagged

Screens show when the figures were last updated, and warn you when a feed or record looks out of date.

Joined-up follow-up

A serious incident with no follow-up action is flagged, and payroll with unresolved exceptions needs a recorded reason before it is approved.

New reports

Action management, medicine exceptions and follow-ups (an exception is not treated as an error) and an AI suggestions trail, in the Report Library.

Linked actions across modules

A medicines error suggests a competency reassessment and the rota warns until it is done. Two-carer care plans flag visits or shifts with one carer. Audit gaps suggest a policy review, training and a follow-up audit.

Work by role

Care workers, seniors, medicines leads, rota, HR, quality leads, managers and directors each see the actions for their role, with details shown on a need-to-know basis.

Action scorecard

Overdue rate, time to close and checked-off rate, each with a plain definition. Fewer actions does not always mean better care, and the scorecard says so.

Actions on every module page

Rota, training, corrective actions, governance, payroll and care pages show their own open actions at the top.

System health and timesheet check

See failed emails, scheduled jobs and stale data feeds. Before payroll, rota, visit and payroll hours are compared, with any gap over 1 hour and 5% flagged.

SARs, access reviews, servicing and applicants

Subject access requests with their one-month deadline, a 90-day user access review, equipment servicing due dates, and an applicant pipeline linked to safer recruitment checks.

Included and on by default on eligible plans. Each one can be switched off in your feature settings, and checks warn rather than block where a manager may need to override with a reason.

What our AI will never do

AI in MyCareAudit makes suggestions. A named person approves, changes or rejects each one, and every decision is kept in the AI suggestions trail.

  • Silently edit medicine records
  • Invent evidence that care was delivered
  • Change anyone’s right to work or employment status
  • Decide the outcome of a safeguarding concern
  • State an unconfirmed cause as a fact
  • Skip a human approval or clinical sign-off

Why an ecosystem beats a bundle

Point solutions don't talk to each other. An ecosystem shares data, context and evidence across every pillar — scaling from a single service to a national group.

AI where it helps, human where it matters

AI accelerates audits, gap detection and reporting — with expert advisory on hand when you want a second pair of eyes.

One data backbone, zero silos

Every pillar reads and writes the same data — an incident in governance flows through to care plans, outcomes and workforce actions automatically.

UK-built & data-resident

Built for UK regulation with UK data residency, GDPR compliance and transparent AI governance.

Evidence that compounds

Every action, audit and outcome builds a continuous well-led evidence trail across all your locations — the defining advantage of an ecosystem over a bundle of point solutions.

Coming soon

An open ecosystem — by design

We're building MyCareAudit so the ecosystem extends beyond our own walls — giving you, your commissioners and your technology partners safe, structured ways to connect.

Public API

Read and write audits, incidents, care plans, outcomes and more from your own systems — starting with a documented REST API.

Webhooks & events

Subscribe to real-time events (new incident, overdue action, completed audit) and trigger your own workflows.

Integration partners

Pre-built connectors for care-planning, eMAR, finance and local-authority systems — so data flows where it needs to without re-keying.

Recent additions, built from the records you already keep. They are on by default on eligible plans and can be switched off in your feature settings.

Quality & Inspection

Professional and above (quick check and speak-up on every plan)

Learn more

Inspection readiness index

Each audit gets a readiness score, an evidence-confidence score and coverage by key question. Any critical risk caps the score, so a good average cannot hide a serious gap. Not a CQC rating.

Sampling, AI challenge and approved summary

Suggested record sampling (10%, or 20% for high-risk areas), an AI “inspector challenge” on weak answers, and a summary that is a draft until a manager approves it.

Question bank and regulator packs

Every audit question tagged by key question, quality statement, evidence type and service type, with thin statements flagged and a ready-made emerging topics audit.

Evidence library

Add a piece of evidence once and link it to many quality statements. Records from your other modules link in automatically, with a gap view per statement.

Quick readiness check

A 10-minute self-check across the five key questions, saved so you can see progress over time.

Continuous monitoring

Re-scores your latest audits each time you open it, with drift alerts when a score falls by 5 points or more, expiring evidence and overdue actions.

Notification deadline tracker

Statutory notifications with the deadline for each type, a countdown and overdue flags. It tracks only and never files anything for you.

Confidential speak-up

Any staff member can raise a concern, named or anonymous. Only managers see the log, record what was done and feed back.

Mock inspection in 5 steps

Scope, sample, inspect, approve and report for CQC, Ofsted or NRSA services. The report stays a draft until a manager approves it. Solo and Starter include 1 a year, Professional 4, and Complete or Enterprise unlimited. Not a CQC or Ofsted rating.

One answer scale

Every audit uses the same plain answers: Met, Partly met, Not met, N/A with a reason, Not yet assessed and Evidence pending.

Evidence check

One list of records that do not match across modules. A missing record is not proof care was not given: a manager reviews each item and records the decision.

Applicant pipeline

Track applicants from applied to hired, and start the safer recruitment checklist when an offer is made.

Supervision and appraisals

Signed supervisions, appraisals with a development plan, and a warning (never a block) on the rota when one is overdue.
