Report Approval
AI can draft a report, but a named person signs it off. Drafts carry a clear watermark, and the final copy is built only from the version a manager approved.
No unchecked report leaves your service.
Audit and mock-inspection reports start as drafts. While any “[add: …]” gap is left, approval is refused. A manager ticks three checks, approves, and the exact version is stored. The final download is then built only from that approved version, so what you send is what was signed off.
How approval works
Simple steps that keep a person accountable for every report.
Draft watermark
Every draft download says “DRAFT – not approved” so it cannot be mistaken for a final copy.
Three checks
The manager confirms they have read every section, checked the evidence links and left no placeholders.
Gaps block approval
If any “[add: …]” placeholder is left in the report, it cannot be approved.
Final from the approved version
Final copies are built from the stored, approved version only. Without approval there is no final copy.
PDF, Word and zip
The zip holds the PDF, the Word file, an evidence list and the approval record.
Named approver
Who approved, when, and which version are kept with the report.

Frequently Asked Questions
Does AI approve reports?+
No. AI can help draft a report, but only a manager can approve it, and approval needs all three checks.
Can I change a report after approval?+
The approved version is kept as it was. Each approval is stored as its own version with the approver and date.
Which plans include it?+
Every plan.

New in MyCareAudit
Recent additions, built from the records you already keep. They are on by default on eligible plans and can be switched off in your feature settings.
Quality & Inspection
Professional and above (quick check and speak-up on every plan)
Inspection readiness index
Each audit gets a readiness score, an evidence-confidence score and coverage by key question. Any critical risk caps the score, so a good average cannot hide a serious gap. Not a CQC rating.
Sampling, AI challenge and approved summary
Suggested record sampling (10%, or 20% for high-risk areas), an AI “inspector challenge” on weak answers, and a summary that is a draft until a manager approves it.
Question bank and regulator packs
Every audit question tagged by key question, quality statement, evidence type and service type, with thin statements flagged and a ready-made emerging topics audit.
Evidence library
Add a piece of evidence once and link it to many quality statements. Records from your other modules link in automatically, with a gap view per statement.
Quick readiness check
A 10-minute self-check across the five key questions, saved so you can see progress over time.
Continuous monitoring
Re-scores your latest audits each time you open it, with drift alerts when a score falls by 5 points or more, expiring evidence and overdue actions.
Notification deadline tracker
Statutory notifications with the deadline for each type, a countdown and overdue flags. It tracks only and never files anything for you.
Confidential speak-up
Any staff member can raise a concern, named or anonymous. Only managers see the log, record what was done and feed back.
Mock inspection in 5 steps
Scope, sample, inspect, approve and report for CQC, Ofsted or NRSA services. The report stays a draft until a manager approves it. Solo and Starter include 1 a year, Professional 4, and Complete or Enterprise unlimited. Not a CQC or Ofsted rating.
One answer scale
Every audit uses the same plain answers: Met, Partly met, Not met, N/A with a reason, Not yet assessed and Evidence pending.
Evidence check
One list of records that do not match across modules. A missing record is not proof care was not given: a manager reviews each item and records the decision.
Scores and judgements in the software are indicative self-assessments, not CQC ratings or Ofsted judgements. AI output is a draft for a person to check; it never makes decisions or files anything for you.
Part of the MyCareAudit ecosystem
One care ecosystem. Record it once, and it works everywhere.
Record it once and it shows up where it is needed. The connected care ecosystem: AI-drafted, human-approved.
Approval built into the same record
Reports draw on audits, actions and evidence already in the platform, and the approval record sits beside them.
